Initial situation

Zürcher Kantonalbank wanted to simplify and fully digitalise its laborious travel and expenses process. The intention is to optimise internal processes and offer employees an efficient expenses processing solution. During the evaluation process, Zürcher Kantonalbank decided on the «Edi» solution that met all the bank's security requirements and functional expectations. 

Solution

Today, all the major Zurich bank's 5,000 employees use the Edi app. Great attention was paid to the user experience during implementation. Expense receipts are uploaded and submitted for approval in just a few clicks. The slim setup lets employees on all levels easily claim back their expense accounts in a self-explanatory way. The rules and verification procedures based on the expenses policy and implemented in Edi thereby ensure processing in accordance with the regulations.

Furthermore, after approval by Accounting, all approved expense receipts are posted direct to the finance system (SAP ERP) via the interface. This facilitates quick progression and considerably reduces manual effort in Finance, which reduces process costs in the long term.

In Edi, a secure solution has been implemented and fully integrated into the corporate infrastructure, simplifying the expenses process for all involved.

Project

The project was launched and completed in 2022. All the stakeholders were involved at an early stage, which made a significant contribution to the project's success. A blueprint was created as part of the requirements analysis. Implementation then took place as part of an agile project setup, including pilot phase. After successful conclusion of the pilot phase, the whole system went live and was connected to the productive peripheral system. Internal training documents were drawn up as early as the preparation stage and key users trained in order to ensure seamless support for day-to-day business. Targeted internal communication and short employee training sequences led to the go-live being an outstanding success. Reto Vögeli, project manager at Zürcher Kantonalbank, is happy that the project has been successfully concluded: «The trust placed in our business partners and the technical solution has proved to be fully validated. Implementation was speedy, committed and customer focused.»
