Illness, accidents, resignations or holidays. Staff absences cannot always be planned for. But the payroll cycle can.
If only one or a few people are responsible for Payroll in your company, a short-term absence can quickly become a risk. That’s exactly when you need a stand-in you can rely on.
With the Payroll Backup Service, we ensure that your payroll processing continues on time, even in an emergency. So that your staff receive their pay on time and your business remains operational.
Payroll Processing Is Not a Process You Can Postpone
Many HR processes can wait a few days, but payroll cannot. As an employer, you’re obliged to pay wages on time and in the agreed amount. If delays occur, this can not only lead to additional costs but, above all, undermine your employees’ trust and damage your company’s reputation. At the same time, deadlines must be met, payment files created and special cases processed correctly. If the person responsible is unavailable during this very phase, the pressure mounts immediately.
Perhaps you’re familiar with this feeling. You hope that nothing goes wrong. But there’s no real Plan B.
This is exactly where our Payroll Backup Service comes in. We work with you to prepare for an emergency and are on hand whenever you need support. This way, you safeguard your company’s most critical HR process.

We Don’t Take Over Your Payroll – We Safeguard It
That’s an important difference. The Payroll Backup Service is not a ‘ Payroll Outsourcing ’. You continue to manage your Payroll yourself. We do not interfere with your day-to-day operations and do not take over day-to-day operations.
We step in when a stand-in is needed: in the event of illness, an accident, resignation or during planned holidays.
What We Take Care of When We’re on the Job
Depending on the situation, we support you with payroll processing and take on agreed tasks.
- Carrying out the payroll run
- Provision of payment files
- Communication with the authorities
- Special cases such as bonus payments, corrections, sick pay or withholding tax
- Changes affecting salaries
Year-end processing is not included in the Payroll Backup Service. For this, we recommend our Interim management .

So That We Can Get Started Immediately in an Emergency
A backup only works if it has been prepared in advance.
That’s why we start with a joint onboarding process. We familiarise ourselves with your Payroll and gain an overview of processes, data, interfaces and regulations. In doing so, we also ensure that the necessary access to your Payroll systems, the payment file upload and any other required systems is set up and tested. Once a year, we carry out a payroll run together.
This means that, in the event of an emergency, we already know how your Payroll works. You don’t have to explain everything to us first. We can provide support straight away.
How We Work Together

We prepare everything together so that no time is wasted in an emergency.
