Step-by-step guide through the entire payroll run process

With guided support during the accounting process, SAP Payroll Control Center takes the hassle out of payrolling. As a user, you are guided from A to Z through the individual steps of the payroll run process. For this HR Campus best practice solution, we have defined standard processes that include all activities related to Swiss payrolling (such as the Swiss unified payroll procedure and ELM notification) and can be extended according to customer requirements. The processes are web-based and many steps run completely automatically. If manual intervention is necessary, the user is informed and guided through it. No login to the classic SAP Payroll is necessary.

The SAP Payroll Control Center records all activities during the payroll run. The audit record, which also includes the handling of errors and the execution of processes, can easily be shown to the corresponding auditor when requested.

In the processes in SAP Payroll Control Center, it is also possible to simulate the accounting results before starting the actual productive payroll run. In contrast to the classic SAP HCM Payroll environment, the simulation can be monitored via the auditing rules. In this way, important issues, like large variations from the previous month’s amounts, can already be checked at the start of the month.

Increased data quality thanks to Swiss payroll auditing rules

Do error messages appear during your payroll run that should have been dealt with earlier? Do you suddenly get a notification in the accounting booking simulation that a cost centre has been blocked? Are there employees in secondary employment in the new QST21 whose data have not all been entered correctly? The monthly payroll run process can be annoying if countless details have to be considered, checked and monitored independently.

Within the framework of our best practice solution, we have developed a fix-ready set of auditing rules, which are customised for Swiss payrolling – especially with regard to ELM and QST21. With these auditing rules, master data and accounting data from the HR system can be validated during the payroll run, whereby both human error and deliberate improprieties can be detected.

Clear and web-based alert management

All errors and results of the auditing rules are clearly displayed for inspection. The classic Swiss payroll auditing rules that we have defined can already seen at the beginning of the month. These alerts are subsequently distributed in your team for processing. The team leaders can always keep track of the unresolved errors that their team members are working on. The errors are processed directly from the SAP Payroll Control Center. In this way, staff can go directly to the “solution location”, which depends on auditing rules, and correct or complete the master data. As soon as the error is resolved, it disappears automatically from the dashboard, which always displays an up-to-date overview of errors and important key figures.

SAP Payroll Control Center: The prerequisites for integration

The SAP Payroll Control Center is a module from SAP that requires a certain version and support package level. A SAP HCM system on premise or a SuccessFactors Employee Central Payroll system are required, where the basic settings for Swiss payrolling can be configured. A SuccessFactors Employee Central system is however not required. The SAP Payroll Control Center can be directly integrated in EC and started from EC. Integration in SAP Fiori is also possible.
