Optimising the integration of external employees into the company is often a major challenge. Mobiliar employs over 6,500 people, plus numerous external workers. In order to make the management of this external workforce more efficient, standardised and transparent, Mobiliar decided to introduce the SAP Fieldglass Vendor Management System (VMS).

Initial situation
External workforce brings valuable knowledge to the company, relieves internal teams and increases flexibility in a dynamic market. Mobiliar, Switzerland's oldest private insurer, recognised the importance of efficient external workforce management and set itself the goal of integrating this optimally into its existing HR strategy.
Greater transparency across all departments was a key requirement for Mobiliar. At the same time, automated processes were to support HR, the purchasing units and the specialist departments. In addition, a company-wide overview of the external workforce was required to ensure efficient processes along the entire employee lifecycle - from recruitment to payroll and offboarding. Mobiliar's agile way of working was central to this in order to facilitate the way internal and external Teams work.

Solution
To achieve these goals, Mobiliar opted for SAP Fieldglass. The vendor management system (VMS) enables flexible, fast and standardised management of the external workforce and can be seamlessly integrated into the existing system landscape. SAP Fieldglass ensures standardised tendering processes and transparent cost control. The direct system connection to suppliers optimises the management of external workforces and creates efficient control of all relevant processes. With this solution, Mobiliar was able to optimise its processes and ensure consistently efficient management of external specialists.
Project
Following the implementation of SAP Fieldglass, Mobiliar decided to involve HR Campus as an external partner for the support, continuous optimisation and strategic development of its Fieldglass system. HR Campus provided support in the technical implementation of new ideas and gave comprehensive advice on the strategic use of SAP Fieldglass. The focus was particularly on the close coordination between business requirements and technical feasibility. During the first few months, the teams from Mobiliar - with significant support from Janine Chamot and Dorothee Brumann - and HR Campus worked together intensively to adapt the system to specific company requirements in a timely manner. HR Campus ensured smooth integration into the existing IT infrastructure, practical training for users and continuous optimisation of the system in line with Mobiliar's needs.
The intensive dialogue resulted in a strong partnership. This trusting cooperation and the high level of technical and consulting expertise of HR Campus convinced Mobiliar in the long term: since 2022, HR Campus has continued to support the optimisation and adaptation of SAP Fieldglass to new requirements and software releases as a permanent partner.
